Knowtis helps students filter noisy university WhatsApp groups and surface relevant academic updates. This policy explains what personal data we collect, why we collect it, how we use, share, and protect it, and the choices and rights you have.
Knowtis (“Knowtis”, “we”, “us”, “our”) operates the Knowtis mobile app, website, and related services (together, the “Service”). Knowtis is the data controller responsible for the personal data described in this policy. This policy applies to all users of the Service wherever it is available, and works together with our Terms of Use.
This policy does not apply to services operated by third parties, such as WhatsApp or our payment providers, which handle your data under their own privacy policies when you interact with them directly.
Our Data Protection Officer can be reached at [email protected] or by post at the address below marked "DPO".
Account information. When you register, we collect your email address, username, password (stored only as a cryptographic credential, never in readable form), and any optional WhatsApp number you choose to add.
Academic and feature data. We process data connected to your use of the Service, including linked WhatsApp group references, academic events, reminders, notification activity, subscription status, and settings such as your courses and institutions.
AI feature content. Messages and prompts you send to Knowtis AI features, together with the responses generated for you.
Usage and device data. How you interact with the Service, device model, operating system and app version, language and time-zone settings, push notification tokens, IP address, crash and performance logs, and analytics events.
Billing information. Subscription and purchase records processed by our payment providers. We do not receive or store full card numbers or bank credentials.
We use your personal data to:
We do not use your personal data to make automated decisions with significant legal or similar effects about you.
Where laws such as the Nigeria Data Protection Act, the GDPR, or equivalent local laws apply, we process your personal data only where we have a valid legal basis:
Knowtis AI features (such as summaries and chat) process the messages and prompts you send in order to generate a response for you. This processing is carried out by third-party AI service providers acting on our instructions under contractual confidentiality and security obligations.
Where providers offer the option, your content is not used to train their general models. Please avoid sending information you would not want processed for this purpose, such as passwords or sensitive personal details. AI output can be imperfect — verify important deadlines and announcements against official university sources.
If you connect WhatsApp-related features, Knowtis may process group metadata, invite links, and academic messages needed to detect deadlines, tests, class changes, or other relevant school information. You should only connect groups you are authorized to use, and you should not connect groups whose members would not expect the content to be processed.
WhatsApp and Meta operate their own services under their own terms and privacy policies, which apply independently of this policy. Your use of WhatsApp must also comply with WhatsApp's Terms of Service.
All third parties processing personal data on our behalf (including AI providers, hosting, analytics, notifications, and payments) are bound by written data processing agreements meeting GDPR Article 28 and NDPA requirements, including security obligations, sub-processor controls, and data subject rights support.
We use a limited set of cookies, device identifiers, and mobile SDKs to operate the Service — for example authentication, analytics, crash reporting, and push notification delivery (such as Firebase Cloud Messaging on Android and iOS). We do not use this data to sell your personal information or to build advertising profiles for sale to others.
You can control notification permissions through your device settings, and control analytics or advertising identifiers through your device privacy settings where available. For web users, non-essential cookies require your prior consent via our cookie banner.
We do not sell your personal information. We share data only in these limited circumstances:
Your personal data may be processed in Nigeria, the United States, and the European Union. For transfers outside Nigeria or the EEA, we rely on: (a) the European Commission's Standard Contractual Clauses (2021) with supplementary measures per Schrems II; (b) adequacy decisions where available; or (c) your explicit consent. Transfer Impact Assessments are conducted for each destination. Contact [email protected] for details.
We retain personal data only as long as necessary for the purposes described in this policy:
You may request earlier deletion per Your Privacy Rights.
We use reasonable technical and organizational measures to protect your information, such as encryption in transit, access controls, and secure credential storage. However, no system or internet transmission is completely secure, and we cannot guarantee absolute security.
If a data breach affects your personal data, we will notify affected users and the applicable regulators, including the Nigeria Data Protection Commission where required, without undue delay in accordance with applicable law.
Depending on your location — including under the Nigeria Data Protection Act and, where applicable, the GDPR or similar laws — you may have the right to:
To exercise any of these rights, contact us at [email protected]. We may need to verify your identity before responding, and we will respond within the timeframes required by applicable law.
Knowtis uses AI to extract academic deadlines and generate summaries from your messages. This processing is not solely automated with legal or similarly significant effects — you always receive the output for review and can verify against official university sources. You have the right to request human review of any AI-generated academic alert by contacting support.
The Service is intended for users aged 16 and above. We do not knowingly collect personal data from children under 16. If you believe a child has provided us personal data, contact us and we will delete it.
We may update this policy. The effective date at the top shows the current version. Material changes (new data categories, new purposes, new sharing) will be announced in the app and by email at least 30 days before they take effect, and will require your affirmative consent where required by law. Non-material changes take effect on posting. Your continued use after the effective date constitutes acceptance of non-material changes.
For privacy questions, requests, or complaints, contact the Knowtis team at [email protected] or through the official support channel listed in the app or on the project website. For data protection inquiries, contact our Data Protection Officer at [email protected].
